President and University Office--Assistant to President


The Assistant to President is a key member of the President and University Office and provides high-level executive, coordination and project support to the President. The postholder will work closely with senior management, academic and administrative units, and external stakeholders to support the effective advancement of the University’s priorities.

Key Responsibilities
1. Serve as a key member of the President and University Office, supporting the President in advancing institutional priorities and ensuring effective coordination of key matters across the University.
2. Provide high-level executive support to the President, including the preparation of strategic briefings, meeting materials, speeches, correspondence and follow-up actions for important institutional matters.
3. Coordinate communication and follow-up between the President and University Office and academic and administrative units, helping to ensure that key decisions, priorities and action items are implemented in a timely manner.
4. Assist with the planning and coordination of major University events, high-level visits, meetings and special projects involving the President.
5. Support the President in maintaining relationships with external stakeholders, including government bodies, partner universities, donors, community organizations and international collaborators, as appropriate.
6. Assist in collecting background information, compiling data and preparing reports to support institutional planning, decision-making and strategic initiatives.
7. Work with relevant units to support selected cross-functional initiatives and projects, monitoring progress and helping to resolve coordination issues where necessary.
8.Undertake other duties as assigned by the President or the University.

Qualifications and Experience
1. A master’s degree or above from a recognized university is preferred.
2. At least five years of relevant experience in executive support, administration, project coordination, stakeholder engagement or a related area. Experience in a university, international organization, government body will be an advantage.
3. Excellent written and spoken English and Chinese. The ability to prepare professional bilingual correspondence, reports and meeting materials is essential.
4. Strong organizational, coordination and project management skills, with the ability to manage multiple priorities and deliver work to a high standard under tight timelines.
5. Sound judgement, discretion and maturity in handling sensitive matters, with the ability to work effectively with senior leaders and a wide range of internal and external stakeholders.
6. A proactive, responsible and service-oriented approach, with strong interpersonal skills and the ability to work independently as well as collaboratively.
